Competency module
The Competency module is a module to manage the competences inside your organization.
When the module is activated inside Achievo it will add 3 menu items.
Here you can add new competences, levels, domains and profiles.
Here you can assign competences and profiles to your employees.
Here you can see graphs and reports that show how competences are represented in your organization.
Competence management
Competence domains
In this submenu you can add competence domains. A domain is used to group competences that belong together. Making new domains is the first thing that you will have to do as every competences needs to be part of a domain.
Competences
Here you will make the competences. As stated before in 'competence domains' a competency needs to be assign to a domain.
After you saved your new competence or you edit a existing one you can add 'competence levels' to a competency. As the name says this are levels inside the competency for example you can add 3 levels novice, medior and expert to a competency to show in what degree a employee controls that competency.
When you don't add any levels the module will see the competency itself as 1 level.
Competence profiles
In this submenu you can add new 'competency profiles'. Here you will only add the title of the profile, in an other part we will add competences and levels to the profile. A profile is used to show what an employee needs for a certain title or position inside the organization.
Competence overviews
Competences for profiles.
In “competence management” we created a profile, but it was only a name without anything yet. Here we will change that. Adding a competence to a profile is very simple all we need to do is choose a profile then you right click on the level you want to add then chose 'add to profile'. In the background everything will be saved so you cont have to think of saving and on the foreground the color will change to show it was added.
Competences for persons.
After adding all the items in 'competence management' and adding competences to profiles we are ready to really start working with the module. Here you can assign competences, levels and a profile to the employees. On top of that you can also set dates on competences for when the employee needs/expects to have that competence.
The screen exists of levels grouped by competences the competences itself are grouped by their domains. The domains can be collapsed when yo don't need any competences that are in that domain this makes it easier to find the competences you need.
Adding a profile to a employee
Adding a profile to a person in this screen is only a 3 step process.
- select person
- select profile
- click “set as employee's profile”
After that you will get a confirmation that the profile is set.
When you change the profiles you will notice that the colors of the competences change. In the image you will see what the colors mean. You can also see the legenda when you click on help in this screen.
Assigning a competence/level to a employee
In the screen all competences will be shows as levels. When a competency has no levels it will see the competency as 1 level.
The adding of a level to a employee is very simple
- choose person
- right click on the level you want to add a context menu will appear
- in the context menu choose obtained.
That's all you need to do the module will save on the background what you added and on the foreground it will change the color of the level to show it has been added.
You can also choose 'obtained on..' instead of obtained when you do this you have to choose a date the competence was obtained on.
When you want to add a level 4 of a competence its not necessary to add every level from 1 to 4 manually. Since you cant have level 4 without having level 1, 2 and 3 as well the module will add automatically every level lower then the one you added.
Deleting a competency
This is the same procedure as adding one there is one difference and that is when you right click on a level that is already added you wont see obtained and “obtained on..” but delete.
Setting a target date
When you right click on a competency that isn't obtained yet you can also choose 'set target date'. When you choose that you will need to choose a date for when the level has to be obtained.
When you over your mouse above a level you will see a mouse over if there is a target date set you will see a item 'planned for' that tells you for when the level is planned. This will disappear as soon as the level is obtained.
Show team competences.
This view is for a team leader(supervisor) here the supervisor can see for everybody in his team what competences the employees have. It will show behind the competence what level the person has. When you hover with the mouse above a cell you will see a mouseover that contains information about the competency.
Competence reports
Competence growth
This screen will show for persons how much they have grown in there competences.
When you choose a start date, end date and a person the module will generate several bar graphs that show the situation on the start date and on the end date. When you compare those two you can see the progress.
Since an employee doesn't need all competences the module only shows the competences that are in the profile of the employee. The bars can have different colors that show certain things.
Green: The employee has more then is required of him. blue: The employee has this and that is required of him. Red: The employee doesn't has this but should have it.
The graph are grouped by the competency domains and this domains can be collapses to hide any information you don't want to see at the moment.
Competence growth(team)
In many ways this screen has the same functionality as 'competence growth' only now we wont look at individual growths but the growth of a team or the whole organization.
Show competency voids(domain)
Here you can generate graphs for profiles that show where there are problems in the profile. It will show for every domain in the profile how many percent is acquired. Like this you can quickly get an idea where you have to search for problems.
The red dots in this graph are click able and will forward you to a more detailed graph for that domain.
Show competency voids
This is the screen you get when you click on a red dot in 'show competency voids(domain)' . You can also manually select what profile and domain you want to see. It will show for every competency in the domain that are in the selected profile how much is acquired .
Company overview
This is a list of all competences that are acquired . In this screen you can search for example which employee's have a certain level or competence. This can be easy when you have a project that needs a special competence and you need a quick way to find who would be able to do that project.
